The Group Records Coordinator (GRC) is primarily responsible for maintaining accurate group records for the Area and conveying that information twice a year to WSO.
A hard copy print out (or computer disk) is sent to the Coordinator in February and August from WSO. These months were chosen to allow time to update the list before the Spring and Fall Assemblies and the semi-annual printing of the Area meeting list. If a member in the Area wants to do an Area-wide mailing, information can be requested from the Group Records Coordinator.
Upon receipt of the print out/disk, the GRC mails a copy of each District’s information to the District Rep in each District requesting that the information be updated and returned in a timely manner. When the update is complete, the GRC makes appropriate changes, and returns the updated information to WSO in a timely manner.
It is useful to meet with the Meeting List Coordinator at least once during the year to correlate information and update accordingly.
Group Records information should be made available at Spring and Fall Assemblies for members to verify accuracy of information.
The GRC is a voting member of the Area World Service Committee and should attend all meetings as well as Spring and Fall Assembly. If the GRC cannot attend a meeting, the GRC should send a written report to the Area Chair.
Expenses such as postage, phone calls and actual gas cost may be submitted to the Area treasurer for reimbursement monthly.
